Conducting, recording and transcribing the meeting in Teams

Starting the Teams meeting

• Access your Outlook calendar, select the meeting that you want to join, and click 'Join'.

• If you have the Teams application installed on your computer you may be asked if you want to 'Open Microsoft Teams (work or school)'. However, you do not need to install or open the Teams application, and can cancel this message and join from your browser instead. Alternatively, if you are familiar with Teams and prefer to use the Teams desktop application you can do this. If not, cancel the 'Open Microsoft Teams (work or school)' message, and select 'Continue on browser'.

• If you have not used Teams on your browser before, Teams may ask to you to allow it to use your camera and microphone. Ensure that you select 'Allow' when asked. You will then be taken to the Teams meeting where you will need to choose your video and audio options. Once you have set these, select 'Join now' to begin the meeting.

• Now that you have started the meeting, your interviewee will be able to join the meeting. Teams will notify you when they attempt to join the meeting, and you will need to admit them when prompted.

Starting the recording and transcription

• When you have admitted your interviewee to the meeting and finished any pre-interview discussion, you can begin the recording. It is up to you whether you record video and audio, or just audio. You may wish to have your cameras on during any pre-interview discussion, but then switch them off during the interview and recording. You cannot, however, keep you cameras on during the recording but only record the audio - if you want to record audio only then cameras must be turned off.

• Select the 'More' button in the Teams meeting, then choose 'Record and transcribe' and click 'Start recording' to start the recording and transcription process. You and your interviewee will see a message letting you both know that the meeting is now being recorded and transcribed.

• When you have completed the interview, select the 'More' button in the Teams meeting, then choose 'Record and transcribe' and click 'Stop recording' to stop the recording and transcription process. You and your interviewee will see a message letting you both know that the meeting recording and transcription has stopped. You can now conduct any post-interview discussion.

• Once your meeting is completed, you and your interviewee can leave the meeting by selecting 'Leave'.

Important notes
• Your auto-generated transcript will not be 100% accurate and must be carefully checked and edited before you download it and delete the recording.
• Your recording will be automatically deleted after 60 days unless you access the recording in OneDrive and extend the expiry date.
